Grubb Properties, a Charlotte-based real estate investment and development firm, seeks a Commercial Lease Administrator to support our essential housing and mixed-use portfolio. In this role, you will manage commercial lease data, maintain accurate records, track critical dates, and ensure compliance with lease terms. You will collaborate with asset management, legal, accounting, and property teams to resolve discrepancies, support budgeting, and improve processes. Responsibilities

  • Administer and track commercial leases across Grubb Properties' portfolio, ensuring accuracy of terms, options, and critical dates.
  • Maintain lease databases and documents, entering updates, amendments, and key financial details in property management systems.
  • Coordinate with asset management, legal, accounting, and property teams to resolve lease discrepancies and support deal execution.
  • Review leases and abstracts for compliance, rent calculations, escalations, CAM and other recoveries.
  • Prepare lease abstracts, reports, and schedules to support budgeting, forecasting, and ownership reporting.
  • Monitor critical dates such as renewals, expirations, terminations, and options, and notify stakeholders proactively.
  • Assist with tenant onboarding, move-ins, and changes, ensuring accurate billing and documentation.
  • Support audits, lender requests, and due diligence for acquisitions, dispositions, and financings.
  • Respond to internal and external inquiries regarding lease provisions, financial obligations, and documentation.
  • Contribute to process improvements, standardization, and data quality initiatives within lease administration.
